Map a repeated task to an automation
Maps a task you repeat into a trigger, steps and actions you can build in an automation tool, with a human check where a mistake would cost.
Task:
Map the task I repeat into an automation with one trigger, numbered steps and the actions each step needs.
Context:
The task today is [describe the task and how you do it by hand]. It happens [how often] and takes about [minutes per time]. The apps involved are [apps and where the data sits]. My automation tool is [tool, or none yet].
Rules:
- Start with the one event that should start the automation and say how the tool would know it happened.
- Break the work into at most 8 steps. Mark each step as automatic, automatic with AI, or a human decision.
- Put a human check before any step that sends a message, spends money or deletes or overwrites data.
- Before the data goes through an AI step, list what personal or company data it contains and which of it can be left out.
- Say which steps may not be possible in my tool and what to check in its documentation.
Result:
A table with the columns step, type, input, output and what could go wrong. Below it, the time saved per month if I fill in my numbers, as a formula and not a claim.
